This page explains what information CrewText collects, why, where it's kept and who it's shared with. If you have a question, email support@CrewText.ca.
1. Who is responsible
CrewText is run from Enfield, Nova Scotia. Jim Jardine is responsible for how CrewText handles personal information. You can reach him at support@CrewText.ca.
2. What we collect
From businesses that sign up:
- Business name, your name, email, province and the area code you pick.
- The email addresses of the office users you add.
- Your settings, such as pay schedule, overtime and lunch.
- Billing details from Stripe, such as your plan and whether a payment went through. Stripe holds your card details; we never see the full card number.
About your crew, added by you:
- Each person's name, mobile number and, if you use one, payroll ID.
- The texts they send to your CrewText number, and the start, finish and lunch times taken from them.
- Changes and approvals made in your office pages, with who made them and when.
From visitors to this website:
- If you fill in the "Book a call" form, the details you type in it.
- If you text our demo number, your phone number and your texts, so the demo can reply.
- The demo on the home page runs in your browser. Nothing you type there is sent to us.
- We don't use advertising or tracking cookies.
3. Why we use it
Only to run CrewText: to record hours, reply to texts, show your office pages, send sign-in links and billing emails, bill you and answer your questions. We don't sell personal information, and we don't use crew information for advertising.
4. Where it's kept
CrewText's records, including crew names, numbers and hours, are stored in Canada, in Supabase's Canada (Central) region.
5. Who we share it with
We use a few trusted service providers to run CrewText: one to send and receive texts, one to take payments, one to send email and one to host this website. Each gets only what it needs to do its job, such as crew phone numbers for texting or your email address for sign-in links. Some of them are based outside Canada, mostly in the United States, so information they handle may be processed there.
We don't sell personal information, and we'd only share it with anyone else if the law required it.
6. Who can see your records
Your office users can see your company's records. Nobody from another company can. We only look at your company's records when you ask us for help, or to fix a problem with the service.
7. How long we keep it
- While your plan is active, we keep your records so you can look back at past pay periods.
- If you cancel, you have 30 days after your last paid month ends to download your hours. Then your records are deleted.
- Copies in our database backups are replaced over time and aren't kept long term.
- Stripe keeps payment records as the law requires.
8. Crew members
If you text your hours to an employer's CrewText number, your employer controls those records. For a copy of your hours or a correction, ask your employer first. You can also email us. Text STOP to stop all texts from that number; text START to begin again.
9. Your choices
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Email support@CrewText.ca. If you're not happy with our answer, you can contact the Office of the Privacy Commissioner of Canada.
10. Security
CrewText records are stored in a managed database hosted in Canada, with the following safeguards:
- Encryption. Data is encrypted in transit (TLS) and at rest, including backups.
- Separation between companies. Access rules are enforced by the database on every request, so a login can only reach its own company's records. We test these rules regularly.
- Sign-in. Office users sign in with a single-use link sent to their email address. Each link works once and expires after one hour, and links are only sent to addresses a company admin has added. There are no CrewText passwords to guess or reuse.
- Administrative access. CrewText's internal access requires a sign-in link and a code from an authenticator app.
- Payment data. Card details are handled by our payment provider, which is certified to the payment card industry standard (PCI DSS). CrewText never receives or stores card numbers.
- Service keys. The keys that connect CrewText to its providers are stored separately from customer records and are never sent to the browser.
Because sign-in goes through email, we recommend protecting your email account with two-step verification.
If a breach creates a real risk of significant harm, we will notify affected customers and the Office of the Privacy Commissioner of Canada as required by law.
11. Changes
If we change this policy, we'll update this page. If the change affects how we use information you've already given us, we'll email customers first.
